Resources for Migration Partners
Because campus will transition to Office 365 on a unit-by-unit basis, the UW-Madison Office 365 team has identified a technical point of contact within most organizations on campus to help ensure that each unit’s transition is as smooth as possible. These individuals will be referred to as “Migration Partners.” View a full list of each organization’s Migration Partner.
If you have been identified as the Migration Partner for your unit, the information below will provide you with an overview of the transition process. Although you will learn about the process in more depth when you start working directly with the UW-Madison Office 365, the preview below should help prepare you for the changes ahead.
What tools are available to you
The UW-Madison Office 365 team has created a set of tools to help you prepare your unit for the transition to Office 365:
- The Wisc Account Administration site will allow you — or your users — to prepare each account for the transition.
- The Organizational Readiness website will help you ensure that your organization as a whole is ready for the transition.

See what roles will be assigned to other individuals in your unit
To facilitate the completion of tasks that will be necessary to ensure a smooth transition to Office 365, the UW-Madison Office 365 team recommends that a representative of your organization’s leadership select individuals to fill a series of roles.

See an overview of the change management process
Establishing a change management plan is crucial to successfully complete a transition as complex as this one. The UW-Madison Office 365 team has created a change management plan to ensure that the transition process is as seamless as possible for each organization.

Find out how you will stay connected with the UW-Madison Office 365 team
Once your unit starts the transition process, regular meetings between representatives of your organization and the UW-Madison Office 365 team are recommended. These meetings will enable communication and address any issues that may arise.

Learn how to make training available to your end users
Training will greatly improve your users’ experience with Office 365 after their migration has completed. The UW-Madison Office 365 team will work with you to complete a needs assessment for your organization and determine the training that is right for your needs.

Get a head start
Although you will receive a complete tasks list when you start working directly with the UW-Madison Office 365 team, there are a few things you can get started on now:
Submit SMTP relay requests.
If you need to send unauthenticated mail — for example, using a copier, server, or other programmatic mailer — you can use DoIT’s SMTP Relay service, if you aren’t already. Start preparing for your unit’s transition by filling out SMTP Relay requests now.
Review policies that may have legal implications for your unit’s data
Individuals in your unit may have data covered by HIPAA, FERPA, or records management policies. Please review those policies below:
